Keep original source files, dated drafts, designer agreements, third-party licenses, trademark or design records, approvals, supplier proofs, physical samples, purchase orders, production photographs, barcode tables, transfer logs, and records of excess materials. For each production-approved asset, preserve a read-only copy with the approval record and identify any retained physical sample.

When suspected misuse appears, preserve evidence before starting a broad confrontation. Save screenshots, web addresses, dates, product photographs, physical samples, invoices, and communications. Do not overwrite the original source files or rely only on social-media posts that may disappear.
